Privacy
Last updated 23 October 2026. Backbook is run by [Business name], ABN [ABN]. Questions about privacy go to [privacy@backbook.com.au].
The short version
- Your client list stays in your browser, on your device. We don't keep a copy on our servers.
- To write a draft, a few details go to our AI provider. To send an email, the message goes to our email provider. Nothing else leaves your device.
- Nothing is sent without you confirming it.
- When a client asks not to be contacted, Backbook stops drafting for them.
Who this covers
Backbook is used by mortgage brokers ("you") to follow up their own clients. You decide which client information to import and what to send. We handle that information only to provide Backbook to you. You remain responsible for collecting your clients' information lawfully and telling them how you use it, as you already do under your own privacy obligations.
What Backbook holds
Whatever is in the spreadsheet you import, typically: client names, email addresses and mobile numbers, lender, loan amount, interest rate and term, settlement and fixed-rate dates, property address and value, last contact date and your notes. Backbook also keeps a record of the messages you send or put off, your settings, and the notes you add.
All of this is saved in your browser's local storage on the device you use. Clearing your browser's data deletes it, so download a backup from Settings from time to time.
What leaves your device, and why
| When | What is sent | To whom |
|---|---|---|
| AI drafting is on and a draft is written | The client's first name, lender, the relevant date (for example the fixed-rate end date), the reason for getting in touch, your name and business name, and at most one short talking point based on your notes. Not surnames, phone numbers, email addresses, loan amounts, addresses or your notes themselves. | Anthropic (Claude), in the United States, via our server in Sydney |
| You confirm sending an email | The recipient's email address, the subject and the message you approved. | Resend, our email delivery provider, in the United States, via our server in Sydney |
| The rate monitor loads | No personal information. Backbook downloads the cash rate from the Reserve Bank of Australia. | Reserve Bank of Australia |
Our server only passes these requests on. It doesn't store the content. The site is hosted by Vercel. Its servers for Backbook's functions are in Sydney, and Vercel is a United States company.
Sending information overseas
Anthropic, Resend and Vercel are based in the United States, so the details above may be handled there. We choose providers that commit to protecting the data, and we send them only what each task needs. Anthropic's commercial terms say customer data sent through its API isn't used to train its models.
Messages and opting out
Every email includes a line telling the client how to stop hearing from you. If a client asks to stop, mark them in Backbook ("asked not to be messaged"). They won't be drafted for or included in a send again unless you undo it. Messages identify you as the sender.
Security
- Everything travels over encrypted connections (HTTPS).
- Drafting and sending need an access code, and requests are rate-limited.
- Because your client list lives on your device, keep that device locked and up to date, and store backups somewhere safe.
Keeping and deleting information
You can delete everything at any time from Settings → Delete all data. Backups are files you download and control. Our providers may keep request records for a limited time under their own terms. If you'd like help with deletion, contact us.
Access, correction and complaints
To ask about, access or correct information we handle, or to make a complaint, email [privacy@backbook.com.au]. We'll reply within 30 days. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
Changes
If Backbook starts storing data on our own servers, or changes providers, we'll update this page and the date at the top before it happens.
